System Features & Step-by-Step Guides

Clear, non-technical walkthroughs of how every part of the application works.

Managing Rental Contracts

Step-by-step from issue to return
  1. 1
Create Contract: Go to Rentals then click + New Contract. Pick or add a customer, enter the rental duration in days, and set the start date.
  2. 2
Issue Items: Add each tool or item the customer is taking and confirm the daily rates. Items are taken out of inventory straight away.
  3. 3
Track & Return: When equipment comes back, record the returned count. The system checks whether everything is back or some items are still with the customer.
  4. 4
Late Fees & Settlement: If items come back after the agreed return date, the daily penalty (currently D 50) is added until everything is returned and the balance is paid.
Go to Rentals Late rate: D 50/day

Direct Sales & Point of Sale

Counter selling and customer checkout
  1. 1
Select Items: Go to Sales and search the items in stock that are marked for sale.
  2. 2
Set Quantity & Price: Confirm the quantity sold. The default sales price fills in automatically, but can be changed if a manager authorizes it.
  3. 3
Customer Info: Enter the buyer’s name and phone number so they appear on the receipt and in the records.
  4. 4
Collect Payment & Share Receipt: Receive the payment and record it, then Share or Download the official receipt for the customer.

Inventory & Stock Tracking

Item catalogs, balances, and adjustments
  1. 1
Item Categories: Items are tagged Rental, Sale, or Both, which decides where they appear in the system.
  2. 2
Stock Counts: Every item tracks its Opening Balance and Current Stock. Items out on rent are tracked separately so nothing goes missing.
  3. 3
Adjusting Stock: Authorized users can adjust stock to add new deliveries or write off losses. The exact user and reason are logged.
  4. 4
Low-Stock Warning: When stock falls to 3 items or fewer, the item is flagged on the dashboard so you can restock in time.
Go to Inventory Threshold: ≤ 3 units

Official Receipts & Sharing

PDF generation, sharing, and layout
  1. 1
Automatic Generation: Whenever a payment is recorded, a formal receipt is created with its own unique reference number.
  2. 2
Spelled Out in Words: The amount is also written in words, e.g. Five Thousand Dalasis only, so figures cannot be quietly altered.
  3. 3
Share & Download: Open a receipt and tap Share to send the PDF through WhatsApp, email or any app on your device, or Download to save it. On computers that cannot share files, Share downloads the PDF instead. To print, open the PDF and print it.
  4. 4
Permanent Record: Receipts are never silently erased. Cancelled or voided receipts stay on record, stamped CANCELLED or VOID.

Security, Roles & Data Protection

How TexonHomes safeguards business data and defines user responsibilities.

Staff accounts cover everyday frontline work (rentals, sales, returns, receipts). Administrators also have access to cash flow, expenses, staff accounts, and global rate settings.

Prevents unauthorized financial tampering.

Full Audit Trail

Every action - issuing equipment, recording a payment, adjusting inventory, or cancelling a contract - is stamped with the exact date, time, and the user who did it.

Complete accountability and transparency.

Offline Detection & Safety

If the shop’s internet drops, a banner appears at the top of the screen so you don’t lose track of unsaved work. Once you’re reconnected, check that your last entry saved.

Helps avoid incomplete submissions.
